This Privacy Policy describes how Noviqo LLC (“Noviqo,” “we,” “us,” or “our”) collects, uses, shares, and protects information when you use our websites, applications, AI assistants, voice services, messaging services, scheduling tools, and related services (collectively, the “Services”).
This Policy applies to Noviqo customers, account holders, administrators, trial users, visitors to our website, and individuals whose information is processed through the Services (such as callers, chat users, and appointment requesters).
1. Information We Collect
Information You Provide
- Account information: name, email address, phone number, business name, business type, and password when you create an account.
- Billing information: payment method details (processed by our payment processor), billing address, and transaction records.
- Business information: service descriptions, pricing, hours, staff names, scheduling availability, policies, and other information you enter or authorize us to access to configure your assistant.
- Communications: messages, emails, or requests you send to us for support or onboarding purposes.
Information Generated Through the Services
- Call recordings and transcripts: when call recording is enabled by a customer, we may store recordings and generate transcripts.
- Chat and message logs: conversations between your assistant and callers, chat visitors, or text message recipients.
- Lead and contact information: names, phone numbers, email addresses, inquiry details, and other information collected by your assistant during calls or chats.
- Appointment and booking data: scheduling requests, confirmed appointments, reschedule requests, and cancellations.
- Call summaries and analytics: AI-generated summaries, call outcomes, sentiment indicators, and interaction metadata.
Information Collected Automatically
- Usage data: pages visited, features used, session duration, clicks, and navigation patterns.
- Technical data: IP address, browser type and version, device type, operating system, referrer URL, and time zone.
- Cookies and similar technologies: described in our Cookie Policy.
Information From Third Parties
- Calendar data from connected calendar services (e.g., Google Calendar) when you authorize the integration.
- Contact or CRM data from connected third-party tools you authorize.
- Website content scraped from URLs you provide to configure your assistant (used to train your assistant on your business information).
2. How We Use Information
We use the information we collect to:
- Provide, operate, maintain, and improve the Services.
- Configure, train, and operate your AI assistant.
- Process bookings, appointments, lead data, and customer interactions on your behalf.
- Process payments and manage billing and subscriptions.
- Send transactional emails and notifications about your account, calls, appointments, and the Services.
- Respond to support requests and provide customer service.
- Detect, investigate, and prevent fraud, abuse, security incidents, and policy violations.
- Analyze usage patterns and improve the quality, accuracy, and reliability of the Services.
- Comply with legal obligations and enforce our Terms of Service.
- Measure the performance and effectiveness of the Services.
3. Caller and End-User Data
When individuals interact with your Noviqo-powered assistant (as callers, chat users, text message recipients, or appointment requesters), we process their information on behalf of our customer (you). In this context, Noviqo acts as a data processor and you act as the data controller.
You are responsible for:
- Providing appropriate privacy notices to individuals who interact with your assistant.
- Obtaining any required consents for call recording, data collection, messaging, and AI interaction.
- Responding to data subject requests from individuals whose information you collect through the Services.
- Ensuring your use of the Services complies with applicable privacy laws.
We process caller and end-user data only as necessary to provide the Services and as directed by you (our customer), except as required by law.
4. How We Share Information
We do not sell personal information. We may share information as follows:
- Service providers: we share information with vendors and subprocessors that help us operate the Services, including AI model providers, telephony infrastructure providers, messaging providers, cloud hosting providers, payment processors, analytics services, and email delivery services. These providers process information only as directed by us and under appropriate contractual protections.
- Integrated third-party services: when you connect a third-party integration (such as Google Calendar), information is shared with that third party as necessary to provide the integration.
- Legal and safety: we may disclose information if required by law, legal process, court order, or government authority, or when we believe disclosure is necessary to protect the rights, safety, or property of Noviqo, our customers, or others.
- Business transfers: if Noviqo is involved in a merger, acquisition, sale, or other business transaction, your information may be transferred as part of that transaction.
- With your consent: we may share information in other circumstances with your explicit consent.
SMS/text messaging: Mobile phone numbers and SMS/text-messaging opt-in consent are never shared with or sold to third parties or affiliates for marketing or promotional purposes. Text-messaging originator opt-in data and consent are not shared with any third parties.
5. AI Model Training
Noviqo does not use your Customer Data (including call recordings, transcripts, caller information, and business-specific data) to train generalized or shared AI models without your explicit consent.
We may use aggregated, anonymized, or de-identified data that cannot reasonably identify you or your customers to improve and develop the Services.
Our AI infrastructure providers may have their own data use policies. We work with providers whose policies are consistent with this commitment, and we include appropriate contractual protections in our vendor agreements.
6. Data Retention
We retain account information and business data for as long as your account is active and for a reasonable period afterward to fulfill business, legal, audit, and operational needs.
Call recordings, transcripts, and chat logs are retained based on your plan settings and applicable law. You may be able to configure retention periods or request deletion through your account settings or by contacting us.
After account termination, we may retain certain information for a limited period as required by law or for legitimate business purposes (such as billing records and fraud prevention), after which we will delete or anonymize it.
7. Your Rights and Choices
Depending on where you are located, you may have rights to:
- Access the personal information we hold about you.
- Correct inaccurate or incomplete information.
- Request deletion of your personal information, subject to legal retention obligations.
- Request restriction of processing in certain circumstances.
- Object to certain processing activities.
- Data portability for information you provided in a structured, machine-readable format.
- Withdraw consent where processing is based on consent.

If you are a caller or end-user whose information was collected through a business's Noviqo-powered assistant, please contact that business directly, as they are the controller of your data.
8. California Privacy Rights (CCPA / CPRA)
If you are a California resident, you have rights under the California Consumer Privacy Act and California Privacy Rights Act, including the right to know, delete, correct, and limit the use of your personal information, and the right to opt out of the sale or sharing of personal information.
Noviqo does not sell or share personal information as defined under California law.

9. Security
We implement reasonable technical, administrative, and organizational measures to protect the information we process against unauthorized access, disclosure, alteration, and destruction.
No transmission or storage system is completely secure. We cannot guarantee absolute security. You are responsible for maintaining the confidentiality of your account credentials.

10. Children
The Services are not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us so we can delete it.
11. International Data Transfers
Noviqo is based in the United States. If you access the Services from outside the United States, your information may be transferred to and processed in the United States and other jurisdictions where our service providers operate. We take steps to ensure that such transfers are made in compliance with applicable law.
12. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by updating the effective date, posting notice on our website, or sending an email. Your continued use of the Services after the updated Policy takes effect means you accept the changes.
